If you run your practice on Practice Better, you are probably a dietitian, a nutritionist, a naturopath, a health coach, or a small group of them sharing a booking page. Practice Better holds your intake forms, your notes, your programs, your invoices, and it works. The problem is not the software. It is the phone: you are forty minutes into a session, your hands are busy, and someone calls to move next Tuesday. In a solo or two-person practice there is no front desk to fall back on, so the call simply goes unanswered.
gema answers that call. Every call, 24/7, no hold music and no voicemail box — plus SMS, web chat and email in the same place. It books, cancels and reschedules. A caller with a clinical question is told their practitioner will cover it at the visit, and offered the booking; a caller who wants a person is put through during your open hours and flagged for you after hours.
Here is the part that matters, stated plainly. gema owns the calendar. It is the booking system, not a widget sitting on top of someone else's. When a patient rings at 9pm and asks for Thursday afternoon, gema checks its own availability, takes the booking there and then, and confirms it on the call. Then it writes that booking into Practice Better as a session, against the right client and the right practitioner. If the caller is new, gema creates the client record so the session has somewhere to land. Cancellations sync out the same way — a real write into your system, not an email asking you to type it in.
This connection is in beta, and here is exactly what that means. Practice Better's own API is in public beta, and its full specification is only visible to account holders inside Practice Better's portal rather than published in the open. So gema tests the connection against your own account before the integration can be switched on at all, and it will not enable itself if that test fails — you find out in thirty seconds, not three weeks in.
Day to day, nothing about your routine changes. You open Practice Better in the morning and the sessions gema booked overnight are already sitting on the schedule. You chart in Practice Better, you invoice in Practice Better, and your clients keep using the portal and the forms they already know. gema's own dashboard gives you the other half — the recording and transcript of every call, and the text and web-chat threads, all on one activity log.
When a sync does not go through, gema does not shrug it off. It retries, and if the write still will not land, the booking is flagged for clinic action and surfaced as a follow-up item in your dashboard — the appointment exists and the patient has been confirmed, and you are told plainly that it has not yet reached Practice Better so someone can enter it by hand. Repeated failures against the same account pause the integration and report it, rather than hammering your credentials quietly.
Setup has one prerequisite worth knowing up front. API access in Practice Better is an add-on requested from the subscription screen inside your own portal, and it is not on every plan — gema checks that your account's API access is switched on the moment you connect it. Once it is on, you generate a client ID and a client secret and paste both into the Practice Better card on gema's Integrations page. Credentials are stored encrypted, and gema only turns the sync on once the live test passes. There is no data migration and no export, because your clinical record never moves.
